A practical guide to preparing T-shirt sample and quotation information for OEM and private-label production with a China garment manufacturer.
Most OEM T-shirt quotation problems start before the factory even calculates the price. The buyer sends a few reference images, the supplier replies with a number, and both sides assume they are talking about the same product. Later, fabric, artwork, sizing, labels, packing or quantity becomes clearer, and the quotation changes.
This is why a good T-shirt brief matters. It does not need to be a perfect tech pack on day one. But it should give the factory enough information to review the project honestly.

The short answer: before asking for OEM T-shirt samples or quotation, prepare reference images, fabric direction, size information, artwork files, decoration method, label and packing requirements, quantity breakdown and timeline expectations.
Start with the information that changes cost or production method. A factory does not need a beautiful presentation deck. It needs practical product information.
| Brief item | What to include | Why it matters |
|---|---|---|
| Style reference | Front/back images, sketch or sample photo | Defines the product direction |
| Fabric | Composition, GSM, hand feel or swatch | Controls cost, shrinkage and drape |
| Measurements | Size chart or base size | Affects fit, consumption and sample review |
| Artwork | Vector/high-res file, size and placement | Needed for print or embroidery setup |
| Branding | Neck label, care label, hangtag, packaging | Private-label cost and sourcing detail |
| Quantity | By style, color and size | Impacts MOQ, fabric order and unit price |
It can give a rough estimate, but not a reliable production quotation. A reference image can show style direction, but it does not define fabric weight, construction, size range, decoration quality, washing effect or packing requirements.
If you only have reference images, mark what matters most.
This helps the factory separate inspiration from production requirements.
Quotation is a cost review. Sampling is a reality check. The first sample often reveals issues that were not obvious in the brief: fabric stretch, print scale, neckline shape, sleeve balance, garment length or color behavior.
A useful sample process should clarify three things:

Graphic T-shirts need better artwork than screenshots. The factory needs production-use files and clear placement information.
| Artwork detail | Better instruction |
|---|---|
| File type | Vector file or high-resolution artwork when possible |
| Print size | Width and height in cm or inches |
| Placement | Distance from neckline, side seam or center front |
| Color | Pantone or clear color reference if important |
| Technique | Screen print, DTG, DTF, embroidery, rhinestone, wash effect |
If the artwork is not final, say so. The factory can still estimate, but the quote should be treated as preliminary.
Before bulk, the approved sample should become the reference point. This is where many buyers lose control if comments are scattered across chat messages.

Because the product becomes more specific. This is not always a bad sign. A quote should change if the buyer changes fabric weight, decoration method, artwork size, packing method, order quantity or size breakdown.
The problem is not quotation change itself. The problem is unexplained quotation change. A good factory should tell you what changed and why.
No, but you need enough information for a serious estimate. A simple brief with fabric, fit, artwork, quantity and packing details is much better than one image.
Simple styles may need fewer rounds. Fitted, washed, heavily printed or decorated T-shirts may need more review.
Yes, if you can explain target hand feel, price position, fit and reference product. The more specific you are, the more useful the recommendation will be.
Reference images, fabric direction, size range, artwork files, decoration method, label/packing needs, quantity breakdown and target timeline.
A good T-shirt quotation is not just a price. It is the result of a clear product brief, realistic sampling plan and production-side review.
